The Agoo Workspace app
Sign in to Agoo on your iPhone or iPad with your Console account, open it with Face ID, clock in and out, look after your visitors and bookings, and see your day, even offline.
Agoo is in early access. This page describes the feature as it ships to early-access organisations; screens are illustrative.
Agoo Workspace is Agoo's app for everyone at your organisation: hosts, employees, receptionists, security leads, guards, auditors, site admins, Admins and Owners. It's called Agoo on your home screen. You sign in with the same Agoo account you use in the Console, and you see what your role allows there, no more and no less.
The app brings you sign-in, your day on Home, your time on Me (clocking in and out on your phone), your visitors and bookings on Hosting (approving, inviting, answering booking requests and setting your hours) and your Account. The front desk follows (see What's coming to the app).
Getting the app
Agoo Workspace comes to iPhone and iPad with Agoo's early access, on iOS and iPadOS 26 or later. The Android app follows in P6. If your organisation is in early access, Agoo's team tells you how to install it.
The app doesn't count towards your plan's kiosks and devices: it belongs to the person signed in, not to a site.
The first time you open it, a short intro shows what the app is for, in four scenes. Tap Skip at any time, or wait for Sign in at the end.
You can't create an account in the app. New people join from the invitation their organisation sends them (see Invite your team), then sign in here.
Type your email
Use the email address you sign in to the Console with.
Choose how to sign in
- With your password. Tap the eye in the field to see what you've typed. Forgot your password? opens the Console's page to choose a new one.
- With a code by email. Tap Email me a code. Agoo sends a 6-digit code to your address; type it in. If it doesn't arrive, Send a new code comes back after 30 seconds.
Two-step verification, if your account uses it
Owners and Admins always need it, and so does everyone when their organisation (or its group) turns it on. Open your authenticator app and type the 6-digit code for Agoo. If you've lost the phone that has your authenticator, tap Lost your phone? to start account recovery in the Console.
Setting up an authenticator on your phone
If your account needs two-step verification and you haven't set up an authenticator yet, the app does it with you on the same phone, so there's no code on another screen to scan.
- Tap Set up my authenticator.
- Tap Open my authenticator app. Your phone opens the app you use for codes (Apple's Passwords, Google Authenticator, Microsoft Authenticator, Authy and others) with Agoo ready to add. If nothing opens, tap Copy the key and paste it into the app yourself.
- Come back to Agoo and type the code the app shows.
From then on Agoo asks for a code from that app when you sign in, in the app and in the Console. Two-step verification explains authenticator apps and what to do when a code doesn't work.
Face ID and the lock
Each time you open the app, it asks for Face ID, Touch ID or your phone's passcode before it shows anything. When you leave the app for more than 30 seconds, it locks again, so a quick switch to copy a code or read a message doesn't lock you out, but a phone left on a desk does.
The lock screen has Sign out too, if you need to leave from there. Set a passcode on your phone in Settings → Face ID & Passcode: without one, the app can't lock, and what it keeps on the phone isn't protected as well.
Home
Home greets you by name, with your organisation and role, and shows your day:
| Section | What it shows |
|---|---|
| Your visitors | Who's in the building now, who's waiting for your approval (marked Needs you) and who's expected today |
| Bookings today | Your bookings for the day |
| Waiting at reception | Deliveries waiting for you |
Tap a visitor or a booking to open its page, the same one as on Hosting. A visit held for a security review shows Held for security.
If your organisation keeps your time, Home also has a small clock card: whether you're in, and a Clock in or Clock out button (see Me: your time).
Agoo's own notices appear at the top: a maintenance window, or something your organisation needs to act on, as in the Console. When nothing is happening, Home says A quiet day so far.
Pull down to refresh. A small pill shows whether the app is online, syncing or offline. On an iPhone, Home is one column with tabs along the bottom; on an iPad, it's a grid, and the tabs can open as a sidebar.
Me: your time
If your organisation keeps your time with Agoo, the app has a Me tab, called Your time. Everyone whose time is kept gets it, whatever their role: employees, hosts, receptionists, security leads, guards, site admins, Admins and Owners. It shows only your own time.
Clock in or out on your phone
Your organisation chooses, site by site, how you can clock in from your phone, in Console → Attendance → Settings. The app offers the ways that are on at your site:
- At the site. The app checks once, when you tap Clock in, that you're inside the site's area, or on one of its Wi-Fi networks when your organisation uses the Wi-Fi check. A map shows the site's area and where your phone is.
- The kiosk's code. On the kiosk, tap Clock in or Clock out. Under Using the Agoo app? it shows a code that changes every 30 seconds. Scan it with the app.
Tap Clock in or Clock out
On Me, or on the clock card on Home. If you work at more than one site, pick the one you're at.
Read your organisation's notices, the first time
Before the app uses your location or takes a selfie, it shows your organisation's notice for each (see Notices and your privacy).
Let the app check where you are, or scan the kiosk's code
The first time, your phone asks whether Agoo may use your location: choose Allow While Using App, with Precise on. Inside the site's area, or on its Wi-Fi, the app says You're at the site. If you're not, it says roughly how far away you are and offers Scan the kiosk's code or Check again. Indoors, step near a window before you check again.
Take a selfie, if your organisation asks
The front camera counts down 3, 2, 1. Tap Use this selfie, or Take another. When the selfie is optional, Skip the selfie clocks you in without one.
Done
The app shows the time you clocked in or out, and the punch appears under Today.
The app uses your location only while the clock-in screen is open, and never follows you in the background. If your organisation keeps the coordinates of clock-ins, they're sent with the punch; otherwise only whether you were inside the site's area leaves the phone.
No signal
Clock in anyway. The app saves the punch on the phone with the time you made it, shows it at once as Sending, and sends it to Agoo when you're back online, at the time you clocked in.
Agoo checks every punch again when it arrives. If it can't record one (for example, your organisation switched that way of clocking in off in the meantime), the punch shows Not recorded with the reason. Ask your manager to add the right time in the Console.
What Me shows
| Section | What it shows |
|---|---|
| Where you stand | Whether you're in, since when, how long you've been at the site, your shift today, and Clock in or Clock out |
| Today | Each clock-in and clock-out, with the time and how you made it ("On your phone, at the site", "On your phone, at the kiosk", "Badge at the kiosk", "PIN at the kiosk", "Card at the kiosk" and so on), and any flags |
| This month | Days in, time worked, late starts and punches your manager is reviewing |
| All my attendance | Every month, one at a time |
| Your shifts | Each shift's name, days, times and site, and how many minutes after the start still count as on time |
| Leave | Your leave requests and where each one stands. You can't request leave in the app yet |
| Clock-in privacy | Your organisation's notices for clock-in, and your answers |
A punch can carry a flag: Sending (still on your phone), Not recorded, In review (your manager is checking it), late with the minutes, Voided or Offline (made with no signal). If you clocked in more than 18 hours ago and haven't clocked out, Me asks you to tell your manager the time you left.
Notices and your privacy
Location and selfies are your organisation's decision, and it tells you about each before the app uses it. The first time you clock in with one, the app shows the notice:
- When your organisation requires it, tap I've read this. That records that you were told; it isn't a choice, so it can't be withdrawn in the app. Questions about it go to your organisation.
- When your organisation asks for your agreement, tap I agree or Not now. Without your agreement, the app doesn't use your location or take a selfie, and you can clock in at the kiosk instead.
In Me → Clock-in privacy you can read each notice again, see what you answered and when, and Withdraw my agreement at any time. Agoo stops taking it from your next clock-in; what was taken before stays until your organisation's retention clears it. See Evidence and notices.
Hosting: your visitors and bookings
If people visit you, or book time with you, the app has a Hosting tab, whatever your role. Your visitors are there when Receives visitors is on for you (see Invite your team) and your role lets you see visits; your bookings, when your role lets you see bookings. That's the Console's rule, so Hosting is there for hosts and for receptionists, security leads, site admins, Admins and Owners who receive visitors or take bookings themselves. Hosting shows only your own visitors and bookings; the front desk's list for a whole site comes later (see What's coming to the app).
A number on the tab counts what's waiting for you: visits to approve and booking requests to answer. On an iPhone, a visit or a booking opens on its own screen; on an iPad, it opens beside the list.
Your visitors
| Section | What it shows |
|---|---|
| Invite a visitor | Invite someone ahead of time (see Invite a visitor) |
| Waiting for you | Visits waiting for your approval, with Approve and Decline on each one |
| Here now | Your visitors who are in the building, with the time they arrived ("In since 10:02 AM") |
| Expected today, Tomorrow, then dates | Who's coming, day by day |
| Past visitors | Everyone you've hosted, month by month. Show more loads older ones. Needs a connection |
Everything but past visitors is kept on the phone, so it's there with no signal and changes by itself as visitors arrive and leave.
On the Free plan, where inviting isn't included, the app says that inviting visitors is part of Starter and above and that your organisation's Owner or an Admin can change the plan. You can still approve and decline.
Approve or decline, even offline
Tap Approve or Decline on the visit, under Waiting for you or on its page. When the visitor is already at reception, the button says Approve and check in. Approving a request to visit before the visitor arrives makes the visit expected and sends them their pass.
Decline asks for a reason, if you'd like to give one. Only staff see it; the visitor is told the visit can't go ahead.
No signal? Answer anyway. The app keeps your answer on the phone, shows the visit as Approved or Declined with a small sending sign, and sends it to Agoo as soon as it's back online. If Agoo can't accept it, for example because reception answered first, the visit shows why, and you can answer again.
Held for security
A visit that's held for a security review shows Held for security, with no buttons. Your security team decides, and the visit shows what they decided. If you open the app with no signal, it may not know yet that a visit is held: Agoo doesn't accept an approval for a held visit, and the visit tells you so. See Watchlist.
A visit's page
Tap any visitor to see their visit: who they are, their company and visitor type, and where the visit stands.
| Part | What it has |
|---|---|
| Approve and Decline | First, while the visit waits for you |
| Asked for another time | When the visitor asked for a different time from their pass: Move it or Keep the time. Either way, they're told |
| When and where | The day and time at the site's time zone ("From 10:00 AM" when there's no leaving time), the site and gate, when they checked in and out, and if they're running late |
| What it's about | What the visit is for |
| Get in touch | Call, WhatsApp and Email, with your phone's own apps |
| Invitation | When their invitation was last sent, and how. Their pass page has their QR code, and Add to Apple Wallet and Google Wallet once the visit is confirmed |
| What's happened | The visit's timeline, in the same words as the Console |
And, as your role allows:
- Change the time. The visitor is sent the new details.
- Send invitation, or Send again: by SMS, email or both.
- Cancel visit. Add a reason for staff if you like, and leave Tell (name) the visit is cancelled on unless you've told them yourself.
A visitor's pass link goes only to them, so you can't open or forward it from the app. If they've lost it, use Send again.
Invite a visitor
Inviting needs a connection, and is included on Starter and above. The app invites visitors for you; to invite for another host, or to change a pass's rules for one visit, use the Console.
Who's coming
Tap Choose from your contacts to pick them from your phone's contacts. Agoo never asks for access to your address book and sees only the person you choose. Or type their name, company, mobile number (024 123 4567 works for a Ghana number) and email.
The visit
Choose the visitor type, the site (if you work at more than one), the day, the time they arrive and, if you like, when they leave. For someone who comes on several days, such as a contractor or an auditor, turn on Over several days and choose the last day: one pass admits them each day, for up to 92 days, on Starter and above (see Multi-day passes). Add what it's about.
The invitation
Under Send them an invitation, choose By SMS, By email or both. They get the day, time, place and who they're seeing, and their pass, with its QR code and Add to Apple Wallet or Google Wallet. With no mobile number or email, the visit is saved without an invitation.
Their answers
Answer the visitor type's questions you know now: text, phone numbers, emails, choices, yes or no, dates and numbers. Required questions left empty are asked when they check in, and photos, files, signatures and ID are taken on arrival. The pass follows the visitor type's rules.
Send
Tap Send. The app confirms who's invited, and Invite someone else starts again.
If you're interrupted, what you've typed is kept on this phone for 7 days and comes back with a note the next time you open Invite a visitor; Start again clears it. Answers your organisation protects are never kept, and the draft is deleted when you sign out or switch organisation (see Unsaved work and drafts).
Your bookings
Under your visitors, Hosting has two tiles, Your hours and Booking pages, then:
| Section | What it shows |
|---|---|
| Requests | Bookings waiting for you to confirm, with Confirm and Decline on each one |
| Upcoming, by day | Your confirmed bookings still to come |
| Past bookings | Your bookings before now, newest first (the last 100), with no-shows and those that didn't go ahead marked. Needs a connection |
Tap a booking to open it:
- When: the day, time and length, in its time zone.
- Where: In person at the site, a Video call (with Join, and Share for the link), a Phone call, or Somewhere else with the address.
- Get in touch: Call, WhatsApp and Email.
- For a request, when to answer by: "or it lapses and the time is freed".
And what you can do with it:
| Action | What happens |
|---|---|
| Confirm | The booking is fixed and they're told |
| Decline | A reason if you like, and Tell them why if they should see it. The time is freed |
| Move | Pick another free time for the same booking type, a day at a time. They're sent the new time |
| Add meeting link or Change meeting link | For video calls: paste the full link, starting with https://. They're sent it |
| Mark no-show | Once it has started, if they didn't come |
| Cancel booking | A reason if you like, and whether to tell them |
Answering a booking needs a connection. With no signal, Hosting shows the bookings the phone has.
Your hours
Your hours is the same as Console → Bookings → Availability (see Availability and closed days):
- Each week: switch on the days you take bookings and set their hours. Add a second range for a break, and swipe one to remove it.
- Dates that differ: a day you're away (Unavailable all day) or Special hours on one date.
- Meeting link and time zone: your own video link, used on booking types that don't have their own, and the time zone your hours are in.
Tap Save to save them together: "Availability saved. Booking pages show the new times now." Until you set your own hours, you can be booked in your site's opening hours.
Booking pages
Booking pages lists the booking types you take, with whether each is taking bookings, whether it's By link only (not listed on your organisation's booking page) or Staff only, and whether you confirm each one. For each page:
- Share opens your phone's share sheet with its link, and Copy copies it.
- QR code shows the page's tracked QR code full screen, for someone to scan from your phone, if your role can see QR codes. Its scans are counted with your QR codes. To print it in your brand's style, download it from the Console.
To change a page's times, questions or look, use the Console (see Booking types). A page for bookings made by staff has no public link to share.
Working offline
The app keeps your part of Agoo on the phone, so it opens and shows your day in a network or power cut, and it stays up to date by itself while you're online. It keeps:
- your organisation, your sites and your own details;
- your visitors and bookings that are still to come or in progress;
- deliveries waiting for you;
- your attendance settings, shifts and leave, and your clock-ins a month at a time;
- for receptionists, security leads, guards, site admins, Admins and Owners, today's visits at the sites you work at.
With no signal, you can still clock in and approve or decline visits: the app sends them when it's back online. Inviting a visitor, answering a booking, saving your hours and past visitors and bookings need a connection.
The first time you sign in, Home shows Getting your day ready while it brings this to the phone. Offline, the pill says so, and the app shows what the phone last had; it catches up as soon as Agoo can be reached.
What the app keeps is in your phone's encrypted storage, only on this phone, and isn't included in backups. It's deleted when you sign out.
Two-step verification comes first
If your account needs two-step verification, nothing comes to the phone until you've entered your authenticator code. A password alone is never enough to take your organisation's data offline.
Account
Your organisations
If you belong to more than one organisation, Organisations lists them. Tap one and Switch: the app brings that organisation's day to the phone and removes the other's.
Appearance
Choose Light, Dark or Same as this phone. Agoo keeps your choice with your account, so the Console looks the same.
Security
See whether two-step verification is on for you, and whether Face ID or Touch ID opens the app. Passwords, authenticators and sessions opens Sign-in and security in the Console, where you change your password, add or remove an authenticator and sign out of other devices.
What's new
News from Agoo, the same as the Console's announcements. Tap Mark all as read when you've seen them.
Help
- Send feedback to Agoo. Choose one of five faces, which part of Agoo it's about, and tell us more if you like. Both boxes, "Agoo may contact me about this" and "Agoo may ask to quote me", start unticked. Only Agoo's team reads it, never your organisation. See Feedback to Agoo.
- Guides opens these guides.
- Open the Console opens the Console in your browser.
On this phone
When the app last synced, how many things are waiting to send, and whether it's online.
Sign out
Tap Sign out in Account (or on the lock screen) and confirm. Agoo signs this phone out and deletes everything it kept here. You can sign in again at any time.
If your phone is lost or stolen, sign out everywhere else from the Console (Account → Sign-in and security → Sessions). The next time the app reaches Agoo, it signs out and deletes what it kept, and without your Face ID or passcode nobody can open it in the meantime.
What's coming to the app
These are planned for the Workspace app, in this order:
- Front desk and security. Today's list, checking people in and out, walk-ins, security holds, who's on site now and the evacuation list, offline; one list of visits waiting for approval at your sites for receptionists and others who approve for everyone; and inviting for another host. Me gains your staff badge and setting your own kiosk PIN.
- For Admins and Owners on the move, shown by role: today and who's on site; one inbox for visit approvals, watchlist holds, booking approvals and clock-in reviews; visitors and the watchlist; the emergency list and an alert in one tap; people, with their staff badges, cards (linked by tapping the card on an iPhone) and PINs; devices, including pairing a kiosk by scanning its code; reports and exports; QR codes; quick switches; billing at a glance (paying stays in the Console); activity and the audit trail.
- Notifications on your phone, including a visitor waiting for your approval and a booking request to answer, reminders when a shift is about to start or you haven't clocked out, and guard mode with each guard signed in.
The Android app, with everything above, follows in P6.
